Camp Chic provides bell tent hire, furnished glamping and event accommodation for weddings, festivals, parties and private events.

2. What this policy covers

This privacy policy explains how we collect, use, store and share personal data when you use our website, contact us, ask for a quote, make a booking enquiry, arrange event accommodation, communicate with us by email, phone or social media, pay us, or otherwise use our services.

Our website is intended for adults arranging events, weddings, festivals, parties and accommodation. We do not knowingly collect personal data directly from children through the website.

3. What personal data we collect

Depending on how you interact with us, we may collect and use:

  • Contact details: name, email address, phone number, postal/contact address if supplied, and social media handle if you contact us there.
  • Event and booking details: event type, date, venue, location, postcode, guest numbers, number of tents, preferred packages, extras, access notes, timings, guest booking arrangements and notes you give us.
  • Guest or attendee details: names, contact details, tent choices, sleeping arrangements or booking/payment status where needed for guest accommodation.
  • Messages and correspondence: emails, form submissions, phone notes, WhatsApp/social messages and booking-related communications.
  • Payment and invoice information: amounts due, amounts paid, payment references, invoices, deposit/refund records and accounting records. We do not collect card details directly through this website.
  • Website and analytics data: pages visited, device/browser information, approximate location derived from IP address, referral source and website interaction data collected through Google Analytics 4 or similar tools.
  • Photos, reviews and testimonials: if you choose to send them to us, tag us, leave a review or agree that we can use them.

4. Special category data

We do not normally ask for special category data, such as health, medical, disability, religious or other sensitive information.

Please do not send us health, medical, disability, dietary, accessibility or other sensitive information unless it is necessary for your event arrangements. If you do provide accessibility, safety or welfare information, we will use it only for the relevant event arrangements, safety/logistics, and related communications.

5. How and where we collect personal data

We collect personal data directly from you when you:

  • fill in a contact or booking form on the website;
  • email, call, message or contact us through social media;
  • ask for a quote, make a booking enquiry or arrange guest accommodation;
  • pay us or receive an invoice, payment link, receipt or refund;
  • send us photos, reviews, testimonials or feedback.

We may also receive personal data from someone else involved in your event, such as a couple, event organiser, venue, wedding planner, family member or guest booking organiser. Where we receive personal data from another source, we use it only for the relevant enquiry, booking, guest accommodation or event arrangements.

Our website may also collect technical and analytics information automatically when you visit it, depending on your cookie choices and the tools enabled on the site.

7. Do you have to provide personal data?

You do not have to provide personal data. However, if you do not provide contact details, event details, booking details or payment information where needed, we may not be able to respond, quote, check availability, arrange guest accommodation, provide the service or meet legal/accounting requirements.

8. Website forms and third-party tools

Our contact and booking forms are hosted through Netlify Forms. When you submit a form, the information you enter is processed by Netlify so that we can receive and manage the enquiry. This may include your name, email address, phone number, event details, booking choices and message.

We may also use email, calendar, cloud storage, payment, accounting, booking/admin or customer-management tools to run the business. Current providers include: Netlify, Google Workspace, Gmail, Google Drive, Google Analytics 4, and any payment, accounting or booking administration providers used for customer arrangements and business records.

9. Cookies, analytics and similar technologies

Our website may use cookies or similar technologies, including Google Analytics 4, to understand how people use the site and whether pages, forms and links are working.

Under PECR, we must give clear information about cookies and similar technologies and obtain consent before setting non-essential cookies or accessing information on a user's device, unless a valid exemption applies. Non-essential analytics, advertising or tracking cookies should not be set before any required consent is given.

We need a separate Cookie Policy or cookie information page listing the cookies and similar technologies used, what each one does, who provides it, whether it is essential or non-essential, how long it lasts, and how people can change their choices.

10. Marketing

We will only send email, text, WhatsApp, social direct-message or similar electronic marketing to individuals where we have consent, or where the PECR soft opt-in applies to similar services and we gave a clear opt-out when we collected the details and in every marketing message.

You can opt out of marketing at any time by using any unsubscribe/opt-out link provided or by emailing info@campchic.co.uk. We may keep a suppression record so we know not to contact you with marketing again.

We do not currently operate a newsletter or paid advertising pixel on this website. If this changes, this policy and the Cookie Policy should be updated before the new activity starts.

11. Who we share personal data with

We only share personal data where needed for the purposes described in this policy. This may include:

  • website, hosting, form and analytics providers, including Netlify and Google Analytics;
  • email, cloud storage, calendar, payment, accounting or admin providers;
  • venues, event organisers, wedding planners, suppliers, delivery/setup teams or guests where needed to arrange an event;
  • payment providers, banks, accountants, insurers, professional advisers or legal advisers;
  • social media platforms where you interact with us there;
  • authorities, regulators, courts or law enforcement where required by law or needed to protect our rights, customers, guests or business.

We do not sell personal data.

12. International transfers

Some providers we use may process personal data outside the UK, including website hosting, analytics, email, cloud storage or payment services. Where this happens, we will rely on appropriate safeguards or transfer mechanisms, such as UK adequacy regulations, standard contractual clauses, international data transfer agreements/addenda, or another lawful transfer mechanism.

Current international-transfer details and providers should be reviewed alongside the website host, analytics provider, email provider, cloud storage, payment and accounting tools used by the business.

13. How long we keep personal data

We keep personal data only for as long as we need it for the purposes described in this policy, including legal, accounting, insurance and dispute-handling purposes.

  • General enquiries that do not become bookings: usually up to 24 months, unless the enquiry remains active or there is another legitimate reason to keep it.
  • Booking, invoice, payment, deposit, refund and tax records: usually up to 7 years after the relevant booking or financial year.
  • Event logistics and guest information: for as long as needed to provide the service and handle follow-up, then deleted or minimised when no longer needed.
  • Marketing consent and suppression records: for as long as needed to prove consent or respect opt-outs.
  • Testimonials, reviews, photos and permissions: until consent is withdrawn where consent is relied on, or until we decide they are no longer needed.
  • Website analytics: according to the settings in Google Analytics and related tools.

14. Your rights

Under UK data protection law, you may have rights to:

  • ask for a copy of the personal data we hold about you;
  • ask us to correct inaccurate or incomplete personal data;
  • ask us to delete personal data in certain circumstances;
  • ask us to restrict how we use personal data in certain circumstances;

  • ask for personal data to be transferred to you or another provider in certain circumstances;
  • withdraw consent where we rely on consent, such as for certain marketing uses, photo permissions, testimonials or non-essential cookies.

15. Automated decision-making and profiling

We do not use your personal data to make decisions that have legal or similarly significant effects on you using solely automated means.

Google Analytics and similar tools may group website visitors into analytics audiences or reports. We do not use this to make automated booking decisions.

16. Photos, reviews and social media

If you send us photos, reviews or testimonials, or tag us on social media, we may ask for permission to use them on our website, social channels, printed materials or marketing. We will not use private event images in public marketing unless we believe we have appropriate permission.

If you interact with us on Instagram, Facebook or another social platform, that platform will also process your personal data under its own privacy policy.

17. Security

We take reasonable steps to protect personal data, including using reputable website, email and cloud service providers, limiting access to business records, and using secure tools for account access and passwords. No method of online transmission or storage is completely secure, but we aim to keep personal data protected and only accessible where needed.

We will acknowledge data protection complaints within 30 days and respond without undue delay.
