Definitions

In these Terms and Conditions:

Camp Chic, we, us or our means Camp Chic Ltd, 10 Delta Close, Frome, BA11 3AH, Company Number 15273438.

Client, you or your means the person, business or organisation making the booking and responsible for paying the relevant deposits, charges and balance.

Client's Guest means any person introduced to Camp Chic by the Client who uses, occupies or pays Camp Chic directly for a tent or associated equipment connected with the Client's booking.

Equipment means all tents, furnishings, beds, bedding, lighting, accessories, pegs, ropes, groundsheets and any other items supplied by Camp Chic, including any items (such as additional tents, toilets or showers) provided by approved partner suppliers arranged and coordinated by Camp Chic as part of the booking. Such partner-supplied items are treated as Equipment under these Terms and Conditions.

Hire Period means the agreed dates and times from delivery or setup until collection or dismantling by Camp Chic.

By making or proceeding with a booking, the Client confirms that they have read, understood and agreed to these Terms and Conditions, and that they accept responsibility for ensuring their guests are made aware of the relevant terms for use of the Equipment.

1. Booking and Reservation

1.1 Bookings must be made in writing and are only confirmed when Camp Chic has received the required booking details, deposit payment, and any signed or written acceptance of these Terms and Conditions requested by Camp Chic.

1.2 Where the Client is paying for the booking in full, including all tents and Equipment included in the booking, a non-refundable booking deposit of 25% of the hire fee is required unless Camp Chic agrees otherwise in writing.

1.3 Where the Client wishes to reserve tents for Client's Guests to pay for individually, the Client must pay a refundable reservation deposit of at least £50 per tent reserved (or £100 per tent for festival events), unless Camp Chic agrees a different amount in writing.

1.4 The reservation deposit also acts as the security deposit for that tent. The Client's Guests will not be required to pay a separate reservation deposit, security deposit or delivery fee for their individual tents unless Camp Chic has agreed a different arrangement in writing with the Client.

1.5 Where tents are paid for upfront and are not being reserved for Client's Guests to pay later, the Client must pay a refundable security deposit of at least £50 per tent (or £100 per tent for festival events), unless Camp Chic agrees a different amount in writing.

1.6 Camp Chic may require a higher deposit depending on the size, value or nature of the booking, the site, the number of tents, the equipment supplied, or any additional risk identified before the booking is confirmed.

1.7 Refundable reservation and security deposits are held as security against damage, loss, missing items, late checkout, excessive cleaning, breach of these Terms and Conditions, or other sums due to Camp Chic. They are not part of the hire fee unless retained or applied by Camp Chic under these Terms and Conditions.

1.8 The balance of the hire fee must be paid in full by the earlier of:

  • 8 weeks before the scheduled start of the Hire Period; or
  • the date of booking, if the booking is made less than 8 weeks before the scheduled start of the Hire Period.

1.9 If the balance is not received by the relevant due date, Camp Chic reserves the right to cancel the booking and retain any non-refundable booking deposit paid.

1.10 Client's Guests must pay any agreed direct hire fee or package balance within the same timescale stated in clause 1.8. Client's Guests are not responsible for the Client's booking deposit, reservation deposits, security deposits or delivery charges unless Camp Chic has agreed this in writing with the Client.

1.11 Any tents reserved for Client's Guests but not paid for within the agreed timescale may not be erected or supplied. If Camp Chic has held availability for those tents and the payment deadline is missed, the related reservation and security deposits may be retained.

1.12 Where tents are reserved for Client's Guests, Camp Chic will provide the Client with a dedicated online booking page for the event. Client's Guests choose and pay for their own tent packages and interiors through that page only. No reservation deposits, security deposits or delivery charges are collected from Client's Guests through the booking page or otherwise, in line with clauses 1.4, 1.10 and 4.7.1.

1.13 All payments must be made by bank transfer unless Camp Chic agrees another method in writing. Payment details will be provided by Camp Chic on the invoice or booking confirmation.

2. Cancellation

2.1 Cancellation by the Client

2.1.1 If the Client cancels the booking, the following cancellation charges apply:

  • more than 12 weeks before the Hire Period: 75% of the hire fee is refundable;
  • more than 8 weeks but less than 12 weeks before the Hire Period: 50% of the hire fee is refundable;
  • more than 4 weeks but less than 8 weeks before the Hire Period: 25% of the hire fee is refundable;
  • within 4 weeks of the Hire Period: the full hire fee is payable and non-refundable.

2.1.2 The 25% booking deposit is non-refundable in all cases unless Camp Chic agrees otherwise in writing.

2.1.3 Cancellations made by Client's Guests are subject to the same cancellation timetable in clause 2.1.1. Any refund due to a Client's Guest will be calculated against the amount paid by that Client's Guest for their tent or package.

2.1.4 Reservation and security deposits are refundable after cancellation only where no sums are due to Camp Chic and no costs, losses, damage, missing items, unpaid charges or cancellation charges need to be deducted.

2.2 Event Postponement, Cancellation or Circumstances Outside Camp Chic's Control

2.2.1 If the event cannot go ahead, is postponed, or is materially affected for reasons outside Camp Chic's reasonable control, Camp Chic will discuss the available options with the Client.

2.2.2 If the event is postponed and Camp Chic is available on the new date, Camp Chic may transfer the booking to the new date, subject to any changes in availability, pricing, staffing, delivery costs or equipment requirements.

2.2.3 If the event is cancelled, the Client cannot attend the new date, or Camp Chic is not available for the new date, Camp Chic may offer one or more of the following, depending on the circumstances and costs already incurred:

  • a voucher or credit against a future Camp Chic booking;
  • a partial refund;
  • a refund calculated in line with clause 2.1;
  • another arrangement agreed in writing between Camp Chic and the Client.

2.3 Force Majeure

2.3.1 Camp Chic will make every reasonable effort to fulfil confirmed bookings. However, Camp Chic may vary, postpone or cancel a booking where performance is prevented, delayed or made unsafe by circumstances beyond Camp Chic's reasonable control.

2.3.2 Such circumstances may include, but are not limited to, storm, high winds, flooding, fire, natural disaster, extreme weather, war, terrorism, civil unrest, government restrictions, epidemic or pandemic restrictions, transport failure, equipment failure, labour dispute, utility failure, site access failure, or any other event outside Camp Chic's reasonable control.

2.3.3 Where Camp Chic cancels or cannot perform because of force majeure, Camp Chic will not be liable for indirect losses, event losses, travel costs, accommodation costs, loss of enjoyment, loss of profit or other consequential losses. Any refund or credit will be considered in light of the sums paid, costs already incurred and the cancellation provisions in these Terms and Conditions.

3. Security Deposits, Damage and Cleaning

3.1 A security deposit of at least £50 per tent (£100 per tent for festival events) is required unless a reservation deposit has already been paid for that tent or Camp Chic agrees another amount in writing.

3.2 The security deposit will normally be refunded within 14 days after the end of the Hire Period, once Camp Chic has dismantled and checked the Equipment, provided there are no deductions due.

3.3 Camp Chic may deduct from the reservation or security deposit for:

  • damage to tents, furnishings, beds, bedding, lighting or other Equipment;
  • loss, theft or missing items;
  • excessive cleaning;
  • smoke, vape, food, drink, mud, make-up, fake tan, glitter, confetti, wax, vomit, urine or other staining or contamination;
  • late checkout or delay to collection caused by the Client or Client's Guests;
  • breach of these Terms and Conditions;
  • unpaid charges or costs owed to Camp Chic.

3.4 If the deposit is not enough to cover the full cost of damage, loss, replacement, repair, cleaning or other sums due, the Client agrees to pay the additional amount in full within 7 days of Camp Chic issuing a written request or invoice.

3.5 Camp Chic may charge reasonable cleaning, repair or replacement costs based on the condition of the Equipment after collection. Where an item cannot reasonably be cleaned or repaired, the Client will be responsible for the full replacement cost.

3.6 Specific additional cleaning or replacement charges may include, but are not limited to:

  • glitter or confetti found in tents: minimum £20 cleaning charge;
  • vomit or urine: minimum £100 cleaning charge plus replacement cost for any item that cannot reasonably be cleaned;
  • smoke or vape damage: potential forfeiture of the full deposit plus any additional repair, cleaning or replacement costs;
  • permanent food, drink, make-up, fake tan, wax or similar stains: repair or replacement at full market value.

4. Delivery, Setup and Collection

4.1 The Client must provide accurate site details, access information, event timings and any relevant restrictions before the Hire Period.

4.2 The Client must ensure that:

  • Camp Chic has clear and safe access to the site;
  • any required permission from the landowner, venue, event organiser or relevant authority has been obtained;
  • the site is suitable for tents and Equipment;
  • the site is flat, level and capable of accepting pegs and guy ropes;
  • there are no underground or concealed drains, cables, pipes, irrigation systems or other services where Equipment is to be erected;
  • obstructions such as vehicles, furniture, plants, shrubs, trees, waste or other materials are removed before Camp Chic arrives.

4.3 Unless agreed otherwise in writing, the Client must either be present on arrival to confirm the exact location and positioning of the Equipment, or provide a clear written site plan at least 24 hours before setup.

4.4 If the Client is not present and no suitable plan has been provided, Camp Chic may erect the Equipment in the location judged most appropriate by Camp Chic's delivery team. In those circumstances, Camp Chic will be treated as having fulfilled the setup obligation.

4.5 Camp Chic may refuse to erect Equipment, or may apply additional charges, where the site is unsuitable, unsafe, inaccessible, obstructed, not as described, or materially different from the information supplied at booking.

4.6 Camp Chic is not responsible for making good or repairing damage to grass, ground, landscaping, paths, access routes or other site surfaces caused by normal delivery, setup, pegging, use, dismantling or collection.

4.7 The Client must provide suitable parking and cover any parking, access, toll, congestion, venue or similar costs incurred by Camp Chic in connection with the booking.

4.7.1 The Client is responsible for any agreed delivery, collection, access, parking or site charges connected with the booking. Client's Guests are not responsible for delivery or collection charges unless Camp Chic has agreed this in writing with the Client.

4.8 Space requirements must be checked before booking. As a general guide:

  • 5 metre bell tents require approximately 7 metres by 7 metres of clear ground;
  • 6 metre bell tents require approximately 8 metres by 8 metres of clear ground.

5. Acceptance of Equipment

5.1 The Client is responsible for checking that the Equipment supplied corresponds with the confirmed booking details.

5.2 Any missing, damaged, faulty or incorrect items must be reported to Camp Chic on the day of setup and before Camp Chic staff leave the site where reasonably possible.

5.3 If the Client does not report any issue promptly, the Client may remain responsible for the full hire fee and for any damage or loss later identified.

5.4 The Equipment must not be altered, moved, modified, adjusted, decorated, attached to, repaired or dismantled without Camp Chic's prior written consent.

5.5 The Client is responsible for any additional costs incurred by Camp Chic where Equipment cannot be erected or laid because of incorrect measurements, unsuitable ground, varying levels, undisclosed access issues, undisclosed site complications or other information not provided to Camp Chic in writing before booking.

6. Use of Equipment

6.1 The Equipment must be used responsibly and only for camping, guest accommodation or another purpose agreed by Camp Chic in writing before the booking is confirmed.

6.2 Check-in is from 4pm on the first day of the Hire Period unless agreed otherwise in writing.

6.3 Check-out is no later than 11am after the final night of the Hire Period unless agreed otherwise in writing.

6.4 Late checkout or failure to vacate tents in time for collection may result in forfeiture of the security deposit and additional charges where Camp Chic incurs delay, extra labour, travel or other costs.

6.5 The Client and Client's Guests must:

  • keep windows and doors closed in wet or windy weather;
  • keep belongings, bedding and Equipment away from tent walls;
  • keep groundsheet flaps tucked under in wet conditions;
  • keep tents clean and tidy;
  • use the Equipment with reasonable care;
  • follow any instructions given by Camp Chic.

6.6 Cooking, naked flames, candles, heaters, gas appliances, BBQ equipment and any other fire or heat source are not permitted inside the tents.

6.7 BBQs, fire pits, open fires and similar items outside the tents must be placed at least 3 metres from any tent or Equipment, must be used safely, and must never be left unattended.

6.8 Smoking and vaping are not permitted inside the tents or within 2 metres of any tent. Any evidence of smoke or vape damage may result in forfeiture of the full security deposit and additional cleaning, repair or replacement charges.

6.9 Pets are not allowed inside the tents unless Camp Chic agrees otherwise in writing. Assistance dogs must be notified to Camp Chic in advance and may only access the tent occupied by their owner unless Camp Chic agrees otherwise.

6.10 The Client is responsible for the conduct of all Client's Guests and other people using or accessing the Equipment during the Hire Period.

7. Weather and Outdoor Conditions

7.1 The Client acknowledges that bell tents and outdoor accommodation are affected by weather, ground conditions and temperature.

7.2 Camp Chic will take reasonable care to pitch tents appropriately, but does not guarantee that tents will remain completely waterproof, dry, warm or unaffected by weather throughout the Hire Period. In heavy rain, high wind, storm, poor ground conditions, condensation or other adverse conditions, leaks, damp, movement, noise or discomfort may occur.

7.3 The Client and Client's Guests are responsible for bringing suitable clothing, footwear, bedding, blankets and personal items for outdoor camping and changing temperatures.

7.4 No refunds will be given solely because of discomfort, inconvenience, cold, rain, condensation, mud, wind, insects, noise or other ordinary outdoor camping conditions.

7.5 If severe weather, high winds or unsafe conditions are forecast or arise before delivery, during setup or during the Hire Period, Camp Chic may refuse setup, delay setup, alter the setup, dismantle Equipment early, or cancel the booking where Camp Chic reasonably considers this necessary for safety.

7.6 During the Hire Period, the Client is responsible for taking reasonable steps to protect the Equipment, including closing doors and windows, keeping belongings away from canvas, and notifying Camp Chic promptly of any issue that may affect safety or damage.

8. Liability and Responsibility

8.1 Nothing in these Terms and Conditions limits or excludes Camp Chic's liability for death or personal injury caused by Camp Chic's negligence, fraud or fraudulent misrepresentation, or any other liability that cannot legally be limited or excluded.

8.2 Subject to clause 8.1, Camp Chic is not responsible for:

  • loss, theft or damage to personal belongings, vehicles, event equipment or third-party property;
  • event cancellation, event interruption, loss of enjoyment, loss of profit, loss of business, travel costs, accommodation costs or other indirect or consequential losses;
  • injury, loss or damage caused by misuse of the Equipment, failure to follow instructions, unsafe behaviour, site hazards, weather, third parties, animals, Client's Guests, or circumstances outside Camp Chic's reasonable control;
  • flooding, poor drainage, unsuitable ground or site conditions not caused by Camp Chic;
  • damage to the site caused by normal setup, use, pegging, dismantling, collection or vehicle access.

8.3 The Client is responsible for:

  • ensuring the site is safe and suitable;
  • obtaining all permissions needed for the booking;
  • managing the safety and behaviour of Client's Guests and anyone using or accessing the Equipment;
  • ensuring Client's Guests understand and follow the relevant terms, restrictions and safety rules;
  • any damage, loss, additional cleaning or costs caused by the Client, Client's Guests, event staff, venue staff, suppliers, animals or other people present at the event;
  • ensuring that children and vulnerable guests are appropriately supervised.

8.4 The Client agrees to indemnify Camp Chic against reasonable losses, claims, costs, damages and expenses arising from the Client's breach of these Terms and Conditions, misuse of the Equipment, site unsuitability, or acts or omissions of the Client, Client's Guests or other people for whom the Client is responsible.

8.5 Camp Chic is not the manufacturer of the Equipment. Where Equipment is used contrary to instructions, moved, altered, overloaded, misused or used for an unauthorised purpose, Camp Chic accepts no responsibility for resulting loss, damage or injury except where Camp Chic is legally responsible and that responsibility cannot be excluded.

9. Insurance

9.1 Camp Chic maintains appropriate business insurance for its activities, including public liability insurance.

9.2 Camp Chic's insurance does not replace the Client's own responsibility for the event, the site, guests, personal belongings, event cancellation, travel, accommodation, third-party suppliers, or damage caused by the Client or Client's Guests.

9.3 The Client is advised to arrange suitable insurance for their event and circumstances, which may include event insurance, cancellation insurance, public liability cover, personal belongings cover, and cover for accidental damage or losses beyond the security deposit.

9.4 Client's Guests are advised to arrange their own cover for personal belongings, travel disruption, cancellation, personal liability and any other risks they wish to insure.

10. Personal Belongings and Valuables

10.1 Personal belongings, valuables, vehicles and other property are left at the site and in tents at the owner's risk.

10.2 Camp Chic is not responsible for loss, theft or damage to personal belongings or third-party property unless caused by Camp Chic's negligence and not otherwise excluded by these Terms and Conditions.

11. Complaints or Problems During Hire

11.1 The Client must notify Camp Chic as soon as reasonably possible if there is any issue with the Equipment or booking during the Hire Period.

11.2 Camp Chic must be given a reasonable opportunity to inspect and resolve any issue. Camp Chic may not be able to consider refunds, reductions or complaints where the issue was not reported during the Hire Period or where Camp Chic was not given the opportunity to put matters right.

11.3 Camp Chic is the Client's single point of contact for all Equipment booked through Camp Chic, including any Equipment provided by approved partner suppliers. Any issue with any Equipment during the Hire Period should be reported to Camp Chic, who will coordinate resolution with the relevant supplier. The Client should not need to contact partner suppliers directly unless Camp Chic asks them to do so (for example, for an urgent safety matter).

12. Governing Law and Jurisdiction

12.1 These Terms and Conditions are governed by the laws of England and Wales.

12.2 Any dispute arising from or relating to these Terms and Conditions or a booking with Camp Chic will be subject to the exclusive jurisdiction of the courts of England and Wales.

13. Changes to These Terms

13.1 Camp Chic may update these Terms and Conditions from time to time.

13.2 The version that applies to a booking will usually be the version provided to or accepted by the Client at the time the booking is confirmed, unless Camp Chic and the Client agree otherwise in writing.

13.3 Camp Chic may make reasonable updates that are required by law, insurance, safety requirements or operational changes. Where a significant change affects a confirmed booking, Camp Chic will take reasonable steps to notify the Client.

14. Entire Agreement

14.1 These Terms and Conditions, together with the written booking confirmation, invoice and any written agreement from Camp Chic, form the agreement between Camp Chic and the Client.

14.2 If there is any inconsistency between these Terms and Conditions and a written booking confirmation or invoice, the written booking confirmation or invoice will apply to the specific booking details, while these Terms and Conditions will apply to the general hire terms.
